How to remove metadata from a PDF

A PDF feels like a final format. The document is laid out, the fonts are embedded, nothing will shift — so it seems the file says exactly what is printed on its pages. In reality a small card of service information sits next to those pages, and it is filled in by the software you saved from, not by you.

That is why a CV sometimes arrives with someone else's name in the Author field, and a proposal tells the recipient which application built it and when. Below: what is stored there, where it comes from and how to clear it in a minute.

What a PDF stores besides pages

The service card in a PDF is called the document information dictionary. The set of fields is standard and almost always at least partly filled in:

• Title — the document title, often the original file name rather than what is printed on the cover page;
• Author — usually pulled from your operating system account or your office suite profile;
• Subject and Keywords — topic and keywords, if anyone ever filled them in;
• Creator — the application the document was written in: Word, LaTeX, InDesign, a browser;
• Producer — the engine that saved the file as PDF, down to the version number;
• CreationDate and ModDate — when the document was created and last edited, to the second and with a time zone.

A PDF may also carry an XMP block — the same information in another format, sometimes with extras added by the editor. So clearing just the author by hand is usually not enough: the same name can sit in two places at once.

Where the other person's name comes from

Almost any PDF is an export from something else. The Author field is filled in not by whoever pressed save, but with whatever name is configured in the application or the system profile. If the document was made on a work computer, the corporate account lands there. If it started from someone else's template, the file may still carry the name of the person who built that template.

Dates say more than they look. The gap between CreationDate and ModDate shows how long the document sat between creation and its last edit, and the time zone hints at the region. For a CV, a proposal or a contract these are details you never intended to share.

How to clean a PDF, step by step

1. Open the Remove metadata tool — no account needed.
2. Drag the PDF into the upload area, or click it and pick the file manually. The free plan handles up to 5 documents a day and 3 files per upload.
3. Wait for the Download link to appear next to the file name. Processing takes a fraction of a second: the pages are not rebuilt.
4. Click Download — you get the same document with a clean- prefix in the name. With several files there is also a Download all (ZIP) button.
5. Send the cleaned copy. Your original with all its fields stays on your own device.

The file type is detected from the content, not the extension, so a renamed document is still recognised. A password-protected PDF cannot be processed — remove the password first.

What stays the same

Text, fonts, layout, page count, links and bookmarks all stay put. We do not rebuild the pages or recompress the embedded images — only the service part of the file changes. The cleaned document opens, prints and signs exactly like the original.

File size barely moves after cleaning: the service card takes only a few kilobytes.

What stripping metadata does not do

The boundary matters. We work on the service block, not on the page content. Anything printed in the document stays printed:

• a name and job title in a signature, a header or a footer;
• the company name on the cover page;
• visible comments and notes left in the margins;
• text under a blacked-out rectangle — if a filled shape was simply drawn over the text, the text is still there and can be copied by selecting it;
• data inside filled-in form fields.

If what you need gone is the visible content, that is a different job: the text has to be deleted in the editor before exporting to PDF, not after.

Frequently asked questions

• Will the document still open everywhere? Yes. The service card does not affect rendering — the file opens in any viewer exactly as before.
• What about a scanned PDF? It cleans the same way. But remember a scan is a picture of a page, and everything visible on it stays visible.
• Can I clean several documents at once? Yes, drop them together. The free plan allows 3 files per upload and you can download them as one archive.
• Should I clean a digitally signed PDF? Better not: any change to the file breaks the signature. Clean first, sign afterwards.
• How do I confirm the fields are gone? Open the document properties in your PDF viewer — usually a Properties or Document Info menu item. On a cleaned file the author, producer and date lines are empty.
